Showing a Video on Displays

New to this? What the instructions mean

Click means select with your mouse (or tap on a touch screen). Row menu means the small actions menu beside an item in a list. Drop-down means a box you click to choose an option. Drag and drop means hold the mouse button on an item, move it, then release.

CMS is your online screen-control system. Display means a managed screen. Publish makes a layout ready to play. Schedule chooses the screens and times.

Some buttons depend on your version and permissions. If your screen looks different, ask your administrator or get help.

STEP-BY-STEP GUIDE

Play a video on your screen.

Before you start

Have your video ready on your computer. The supplied guide recommends H.264 MP4 video.

1. Upload your video

  1. Click Media in the Library section of the CMS menu.
  2. Click Add Media.
  3. Click Select Files (or Add files).
  4. Find the file on your computer, select it and click Open.
  5. Give it a recognisable name, such as Reception – Welcome, or keep its existing name.
  6. Click Done to return to the media list. Uploading may continue in the background; wait until the upload has finished before scheduling.
Optional: choose a thumbnail picture

During upload, click the video thumbnail. Use the scroll bar to choose a frame, then click Capture. This only makes the video easier to recognise in your media list.

2. Send it to your chosen screens

  1. Find your video in the list. Open its row menu — the small actions menu beside that item.
  2. Click Schedule.
  3. Select the display or displays you want to use. Check the names carefully so the content goes to the correct screens.
  4. To keep the content available without an end date, leave Always selected. To set dates or times, click Next and choose Custom.
  5. For a custom schedule, enter the start and end dates and times shown in the form. Check these before continuing.
  6. Click Finish when you have completed the relevant options.
  7. Allow the display to collect the new schedule and download the content. Check the physical screen after it has updated.
For normal playback: leave the video duration unchanged. Setting a shorter duration can cut it off; a longer duration can make it repeat.
How to check it worked

The video appears in your Media list and Schedule. Check that it plays on the intended screen at the right time.

Something not working?

Uploading does not put a file on a screen by itself. You must also schedule it. Updates are not instant: the player checks for changes periodically and large files take longer to download. Button names can vary between versions. If you cannot see an option, check with your administrator. For a screen that has not updated, follow the troubleshooting checklist.

More detail, screenshots and advanced options

Add a Video file to your Media Library and Schedule to play on Displays.

You may have Video content which has been created to showcase product promotions or show company updates to employees, ready to be shown full screen on your Display network.

Video files are first added to the Library by upload or by URL. For this example a Video file will be uploaded to the CMS Media Library.

Add Media

  1. Click on Media under the Library section of the main CMS menu
  2. Click the Add Media button
  3. Drag and drop, enter a URL or click Select files and locate the Video file to upload
  4. Click on the thumbnail and use the scroll bar to select a frame to use to make it easier to identify in Media Library lists
  5. Click the Capture button in the top right of the screen
  6. Provide a new Name or leave this field blank to keep the original file name
  7. Click Done to return to the Media grid

Select Media

  1. From the Media grid use the filters to make it easier to find the uploaded video file if required

  2. Use the row menu and select Schedule

  3. Select which Displays to show the video on

  4. If you want to use the default Always schedule, and happy with the default settings and have no further scheduling options to set, you can click Finish to complete the schedule

  5. If you want to select alternative created Dayparts or Custom dates, select Next

  6. To configure advanced scheduling options and override the duration of the video for example, click Next

  7. Duration in loop determines how long this video should be shown each time it appears in a Schedule Loop

  8. You can specify a duration here and provide a lower duration to cut the video short. When setting a higher duration, the video will loop back to the beginning and play to satisfy the duration applied

  9. Click to Finish once all relevant fields have been completed

The CMS will now update a Schedule change and your Video will be shown on Displays for the timings set in the schedule.

FAQs

What are Schedule Loops?

A Schedule Loop is how media content will play when in schedules with other media content. For example, if you have scheduled 2 media items each with a 10 second duration to be shown at the same time for 1 hour, both items will play for their 10 second durations in fair rotation for the scheduled time.

Which file format is recommended for Videos?

We recommend H264 MP4 file format.
