How it works

From a blank design to content on your screen, follow these four steps in order.

Before you start

Sign in to your CMS. Make sure you know which screen you are updating and that it is connected and authorised. Keep your pictures or videos ready on your computer.

1. Create Layout

Create your layout based on your requirements. Choose the screen size and how you want your design to look.

  1. In the CMS menu, click Layouts under Design.
  2. Click Add Layout.
  3. Click the Untitled name at the top and enter a name you will recognise, such as Reception – Welcome.
  4. Choose the Resolution in the properties panel to match your screen. Use landscape for a horizontal screen or portrait for a vertical screen. Ask your administrator if you do not know the correct dimensions.
  5. Your blank layout is ready. Next, add the pictures, videos or text you want people to see.
You are ready to continue when…

You have a named layout with the correct screen dimensions.

2. Upload Content

Upload your pictures or videos, then add them to your layout. Arrange them where you want them to appear.

  1. Open Media under Library.
  2. Click Add Media.
  3. Click Select Files (or Add files).
  4. Select the picture or video on your computer, then click Open.
  5. Give the file a clear name if needed, then click Done. Wait for uploading to finish.
  6. Go back to Layouts and find the layout you created.
  7. Open its row menu — the small actions menu beside the layout — and choose Design.
  8. In the editor’s toolbox, open the library search for the type of file you uploaded. Find your file.
  9. Drag the file onto the canvas — the large area showing your screen design.
  10. Position and resize the content. Repeat for any other items you want to add.
You are ready to continue when…

The uploaded files are visible in the library and have been added to the layout canvas.

3. Publish Layout

Preview your design and publish it when you are happy. This makes the layout ready to show on your screens.

  1. Click the background of your layout to deselect any content item.
  2. Click Play below the canvas to preview the design.
  3. Check that your text is readable, your pictures fit and your videos play as expected.
  4. Make any changes you need, then preview again.
  5. Open the three-line menu at the top right of the layout editor.
  6. Click Publish.
  7. Leave Publish Now selected to publish immediately, then complete the publish form.
You are ready to continue when…

The layout is published and ready to be scheduled. Publishing alone does not create a schedule.

4. Schedule Layout

Choose which screens should show the layout and when. The player downloads the content and plays it at the scheduled time.

  1. Click Schedule in the CMS menu.
  2. Click Add Event.
  3. Choose Layout as the event type.
  4. Select the layout you have just published, then click Next.
  5. Select the display or displays where it should play. Check the names carefully.
  6. For an ongoing schedule, leave Always selected. For specific dates and times, click Next and choose Custom.
  7. If you chose Custom, enter your start and end dates and times.
  8. Review the details, then click Finish.
  9. Allow the player to collect the schedule and download the content. Check the physical screen during the scheduled time.
You are ready to continue when…

The event appears in Schedule with the correct screens and timing. Once the player updates, your layout appears on the screen.

Not showing immediately? Uploading, publishing and scheduling are separate actions. Players check for changes periodically, and large files take longer to download. If other events overlap, content may play in rotation. Follow the troubleshooting checklist if needed.

Your schedule form looks different? Some versions use a single form instead of a wizard. See the older scheduling instructions.
