Showing an Image on Displays

New to this? What the instructions mean

Click means select with your mouse (or tap on a touch screen). Row menu means the small actions menu beside an item in a list. Drop-down means a box you click to choose an option. Drag and drop means hold the mouse button on an item, move it, then release.

CMS is your online screen-control system. Display means a managed screen. Publish makes a layout ready to play. Schedule chooses the screens and times.

Some buttons depend on your version and permissions. If your screen looks different, ask your administrator or get help.

STEP-BY-STEP GUIDE

Put one picture, menu or poster on your screen.

Before you start

Have your image saved on your computer and know which display you want to update.

1. Upload your picture

  1. Click Media in the Library section of the CMS menu.
  2. Click Add Media.
  3. Click Select Files (or Add files).
  4. Find the file on your computer, select it and click Open.
  5. Give it a recognisable name, such as Reception – Welcome, or keep its existing name.
  6. Click Done to return to the media list. Uploading may continue in the background; wait until the upload has finished before scheduling.

2. Choose where and when it plays

  1. Find your image in the list. Open its row menu — the small actions menu beside that item.
  2. Click Schedule.
  3. Select the display or displays you want to use. Check the names carefully so the content goes to the correct screens.
  4. To keep the content available without an end date, leave Always selected. To set dates or times, click Next and choose Custom.
  5. For a custom schedule, enter the start and end dates and times shown in the form. Check these before continuing.
  6. Click Finish when you have completed the relevant options.
  7. Allow the display to collect the new schedule and download the content. Check the physical screen after it has updated.
Keep it simple: leave advanced settings unchanged for your first image. “Duration in loop” means how many seconds this image plays each time it takes a turn.
How to check it worked

Your image is in the Media list, its event appears in Schedule, and the correct display shows it during the selected time. If other items are scheduled at the same time, it may take turns with them.

Something not working?

Uploading does not put a file on a screen by itself. You must also schedule it. Updates are not instant: the player checks for changes periodically and large files take longer to download. Button names can vary between versions. If you cannot see an option, check with your administrator. For a screen that has not updated, follow the troubleshooting checklist.

More detail, screenshots and advanced options

Add an Image file to your Media Library and Schedule to play on Displays.

You may have image content created outside of the Layout Editor, e.g. created by an agency, in house marketing team etc, ready to be shown full screen on your Display network.

Image files are first added to the Library by upload or by URL. For this example an Image file will be uploaded to the CMS Media Library.

Add Media

  1. Click on Media under the Library section of the main CMS menu
  2. Click the Add Media button
  3. Drag and drop, provide a URL or click Add files to select the image file to upload
  4. Provide a new Name or leave this field blank to keep the original file name
  5. Click Done

Select Media

  • From the Media grid use the filters to make it easier to find the uploaded Image file if required

  • Use the row menu and select Schedule

  • Select which Displays to show the Image on

  • If you want to use the default Always schedule, and happy with the default settings and have no further advanced scheduling options to set, you can click Finish to complete the schedule

  • If you want to select alternative created Dayparts or Custom dates, select Next

  • If you don’t need to apply any further scheduling options and are happy with the defaults set for Duration in Loop, Resolution etc, click to Finish

Duration in loop determines how long this Image should be shown each time it appears in a Schedule Loop.

The CMS will now update a Schedule change and the Image will be shown on Displays for the timings set in the schedule.
